A reliable certificate workflow for college festivals

College festivals rarely have one certificate list. Participation, winners, volunteers, speakers and organisers each need different wording and approvals. The safest workflow separates those groups before generation.

Prepare the source of truth

  • Use one row per issued certificate.
  • Keep certificate type in its own column or worksheet.
  • Normalise participant names before approval.
  • Assign stable event and recipient identifiers.
  • Collect email only when direct delivery is part of the plan.

Use one approved template per certificate type

Participation and winner certificates should not rely on operators changing wording inside the same batch. Separate templates reduce accidental rank, event and signatory errors.

Run a controlled job

1

Freeze the list

Agree on the approved worksheet or CSV version.

2

Import and map

Connect the sheet or upload the file, then map columns to the intended fields.

3

Review preflight

Check sample names, dates, long event titles and missing values.

4

Choose record handling

Use managed credentials for verification and later correction; use temporary output for disposable batches.

5

Generate and reconcile

Compare processed, failed and delivered counts with the approved list.

Plan around allowance, not an old blog number

FotoFit plan limits can change. Check the live pricing page for the current annual output allowance, managed-credential allowance and per-job technical maximum before promising a batch date.
