Bulk certificate generator: the complete spreadsheet workflow

Create one certificate template, map spreadsheet columns, review the data and generate a personalised output for every approved row.

A bulk certificate generator combines one reusable design with structured recipient data. FotoFit supports CSV and Google Sheets inputs, PNG or PDF output according to plan, managed credential records, temporary renders and optional delivery.

What you need before generating

Prepare the final certificate design, decide which values change for each recipient and keep one clean header row in the spreadsheet. Names, course titles, dates, identifiers and image URLs should each have their own column.

  • A FotoFit template with named dynamic fields
  • A CSV file or connected Google Sheet
  • One row per recipient or output
  • A decision between managed credentials and temporary output

The reliable five-step workflow

  1. Design once

Create the certificate and mark only the fields that should change.

  2. Import data

Select a Google Sheet or upload CSV/XLSX data.

  3. Map fields

Connect each template field to the matching spreadsheet column.

  4. Review preflight

Resolve missing values, invalid image URLs and output settings before the job starts.

  5. Generate and deliver

Run the job, inspect progress and download or deliver the completed outputs.

Try the workflow with this sample dataset

Fictional example data. Save these rows as a CSV file, an XLSX workbook, or a connected Google Sheets worksheet, then run the five steps above against them: import, map each column to a template field, resolve the preflight report, and generate. Rows beyond your plan's output allowance or the per-job row limit will not run, and PDF output depends on your plan — review one sample output before running a real list.

Managed credentials or temporary output?

Choose managed credentials when recipients need a durable record, later editing, regeneration or verification. Choose temporary output when you only need a downloadable batch and do not need recipient records after the download window.

Common data problems to catch first

  • Duplicate or empty column headings
  • Names stored in inconsistent capitalization
  • Dates interpreted differently by spreadsheet software
  • Private image links that the renderer cannot access
  • More rows than the plan allowance or per-job technical limit

Common questions

Can FotoFit generate PDFs?

PDF output is available on plans that include it. PNG remains available across plans.

Can I use Google Sheets?

Yes. Connect Google Sheets, select a spreadsheet and worksheet, then map its columns during job setup.

Does every certificate need a permanent record?

No. Temporary generation is intended for batches that do not need managed recipient records.
