Dynamic images in bulk generation: URLs, uploads and regeneration

A dynamic image field lets each spreadsheet row supply a different photo or graphic to the same template. The difficult part is not mapping the column; it is ensuring every source remains accessible, correctly cropped and appropriate to process.

Prefer prepared web images

Converting large originals to a suitable web format can reduce transfer size. WebP often produces smaller files than comparable JPEG or PNG content, but the result depends on image type, dimensions and quality settings.

Validate the whole column

  • HTTPS URL returns an image response.
  • No login or expiring browser session is required.
  • Image dimensions are sufficient for the template.
  • Crop and focal point remain acceptable.
  • The organisation is authorised to use the image.

After job completion

Temporary job uploads are not kept as a permanent source library. Managed records retain the source reference needed for later editing. If the external image disappears, the edit flow should ask for a new URL or upload before regeneration.

Why not store every original forever?

Unlimited source retention increases cost, privacy exposure and deletion complexity. Retaining only what the managed workflow needs creates a clearer lifecycle while still allowing an authorised user to replace a missing source.
